Position Summary

Girls Rock MKE is seeking a dynamic and organized Operations Assistant to support administration of our organization’s internal systems, development efforts, event readiness, and provide essential marketing and admin support to our Executive Director. This is a year-round, flexible, part-time position, approximately 10 hours/week at $18-20/hour, ideal for an individual passionate about grassroots community organizing, art and music, youth development, and social justice based non-profit work. This role is designed to evolve based on available funding and organizational needs, starting at 10 hours per week with potential to grow to 20 hours.

Responsibilities include:

Fundraising & Donor Management (approximately 40%)

  • Attend Fundraising Committee meetings and track action items and deliverables

  • Assist with grant research and tracking to increase funding opportunities

  • Support donor engagement through thank-you letters and impact updates

  • Track and administer sponsor benefit deliverables

  • Track grant/report deadlines and assist with document prep

Marketing & Communications (approximately 40%)

  • Attend Marketing Committee meetings and track action items and deliverables

  • Coordinate marketing asset delivery across volunteers and/or freelancers for distribution across Girls Rock MKE channels

  • Oversee the regular publication of a monthly e-newsletter using MailChimp

  • Perform light website updates using Squarespace

  • Manage general inbox, routing emails as needed to connect volunteers, campers, donors, and community with appropriate resources

  • Assist with event-related tasks, such as maintaining inventory of merch and event supplies, prepping materials for tabling events or camp/showcases, and coordinating supplies ordering/replenishment with Executive Director as needed

  • Option to work additional hours on an as-needed basis in support of event coordination, if desired

  • Represent Girls Rock MKE’s mission across all marketing materials

Administrative & Operational Support (approximately 20%)

  • Attend Programming Committee meetings and track action items and deliverables

  • Maintain Monday.com project boards across committees

  • Prepare meeting agendas, action items, and follow-ups

  • Perform general office tasks, including organizing receipts and digital files

  • Perform other duties as assigned

Minimum Qualifications:

  • High school diploma required

  • Experience in a development, fundraising, marketing, communications, or administrative role (equivalent education may be considered in lieu of experience)

  • Ability to communicate effectively with people from diverse backgrounds

  • Strong interpersonal and proactive communication skills 

  • Ability to independently complete complex administrative tasks and work collaboratively as part of a team

Preferred Qualifications:

  • Experience managing grants, individual gifts, sponsorships, and/or events

  • Proficiency in design software such as Canva or Adobe Creative Cloud

  • Experience with email marketing

  • Proficiency in Google Suite (Gmail, Google Drive, Google Docs, etc.)

Compensation:

  • $18-20/hour, approximately 10 hours per week

Schedule:

  • Flexible, part-time, hybrid (mostly remote)
